Data Protection & Privacy  Policy

  1. Introduction

    1. “BBA” refers to Bizzy Bee Academy, 

    2. The term “Member” refers to all who are actively involved in this enrichment program.

    3. The term “Directors” refers to Kasey Habecker or Kenna Blue

    4. The term “Staff” is used to represent the committee members.

    5. The term “Children” means all active members under the age of 18 enrolled in our program.

  2. Aims

    1. Bizzy Bee Academy aims to ensure that all personal data collected about staff, children, members, visitors and other individuals is collected, stored and processed in accordance with the Data Protection Act of 2018 (DPA 2018)

    2. This policies applies to all personal data, regardless of whether it is in paper or electronic format

  3. Definitions.

    1. Personal Data

      1. Any information relating to an identified, or identifiable individual this includes:

        • Name

        • Location data

        • Email address, telephone numbers, and addresses

      2. It also may include factors specific to the individuals physical, mental, economic, cultural or social identity.

    2. Special categories of personal data

      1. More sensitive personal data which is protected differently.

        • Political opinions,

        • Religious beliefs

        • Health - physical or mental

        • Payment records

    3. Processing

      1. Anything done to personal data, such as collecting, recording, organizing, structuring, storing, adapting, altering, retrieving, using, disseminating, raising, destroying, and uploading

      2. Processing can be automated or manual

    4. Data subject

      1. The identified or identifiable individual who’s personal data is held or processed

    5. Data controller

      1. The person that determines the purposes and the means of processing of personal data

    6. Data breaches

      1. A breach of security leading to the accidental or unlawful discruction, loss, alteration, unauthorized disclosure of, or access to, personal data.

  4. The data Controller

    1. Our Program processes personal data relating to parents, children, staff, directors, visitors, and others. Therefore is a data controller

  5. Roles and responsibilities 

    1. This policy applies to all staff and are responsible for:

      1. Collecting, storing and processing any personal data in accordance with this policy

      2. Informing BBA of any changes to their personal data such as phone number changes

      3. Contacting BBA Directors in the following circumstances

        • Any questions about the operation of this policy, retaining of personal data or keeping it secure

        • Any concerns about this policy not being followed

        • Questions about personal data and its uses

        • If there was a breach

    1. Our Commitment to Privacy

      1. Your privacy is important to us. To better protect your privacy we provide this notice explaining our online information practices and the choices you can make about the way your information is collected and used. To make this notice easy to find, we make it available on our homepage and our terms of service are at every point where personally identifiable information may be requested..

    2. Our Commitment to Children's Privacy:

      1. Protecting the privacy of the very young is especially important. For that reason, we provide the option to collect or maintain information at our website from those we actually know are under 13, and no part of our website is structured to attract anyone under 13. Collecting children information is solely the responsibility of the web site administrator for each respective group.

    3. How You Can Access or Correct Your Information

      1. You can access all your personally identifiable information that we collect online and maintain by using your secure login that each member sets up to login into their own personal profile account that is maintained by each member. We use this procedure to better safeguard your information.

      2. You can correct factual errors in your personally identifiable information by updating that information yourself; each member has access to update their own family information.

    4. How to Contact Us

      1. Should you have other questions or concerns about these privacy policies, please email us at bizzybee.tx@gmail.com. Or call/text us at 903-347-8007. 

    5. Removal of Account

      1. In the event you no longer wish to be at Bizzy Bee, we will start by parking your account, this will send you a notification email to the email you provided. The account then is Deleted Immediately

      2. If you wish to re-enroll at this point you will have to reapply for access to the website and fill out the forms again, as well as pay the registration dues.

      3. If you, at any point, are done with Bizzy Bee and wish for your information to be removed from the system, that can be done immediately after pulling your child from our Academic Co-op. All physical copies of your information will be shredded at this point as well.

  7. Collecting of personal data

    1. Lawfulness, fairness and transparency

      1. We only process personal data where we have to:

        • With full consent

        • To protect life (Medical conditions)

      2. For specal categories of personal data

        • In individual gave expelicit consent 

        • The data given has already been made public by the individual

        • The data needed to be processed for the establishment, to exercise or defense of legal claims

        • For public health reasons

      3. Criminal offense data

        • The individual has given appropriate consent

        • The data has been made public knowledge by the individual 

        • Needed to be used for legal claims

      4. Whenever we first collect personal data directly from individuals, we provide them with the relevant information needed to make informed consent

      5. We consider the fairness of our data processing and ensure we do not handle personal data in a way that one would not reasonably expect us to

    2. Limitations, minimization and accuracy

      1. We will only collect personal data for specified and legitamate reasons. Those reasons will be explained to the individuals at the collection site

      2. If we want to use personal data for other reasons than originally stated we will seek the consent where necessary

      3. Staff only comes in contact with personal information where necessary to do their jobs

      4. We keep data accurate and where necessary, up to date. Inaccurate data will be rectified and/or erased when appropriate

      5. All data, when no longer needed, is deleted if electronic, and if physical copies are held they are then shredded

  8. Sharing of personal data

    1. We will not normally share personal data with anyone lose without consent, but certain circumstances we maybe required to do so. These include but are not limited to:

      • Risk to child or parent that puts BBA at risk

      • When asked by lawenforcemtnt or other governing bodies when correct legal athority is provided

      • With emergency services if it helps them respond to an emergency citation that affects any of the children or members

  9. Photographs and videos

    1. As part of our enrichment activities, we may take photographs and record images of individuals within our programs

    2. In our program

      1. We will obtain written or digital consent from parents for photographs and videos o be taken of their child for communication, marketing, and promotional materials.  We will clearly explain how the photograph and or videos will be used to both parents and children

      2. Any photographs and videos taken by parents at events for their own personal use are not covered by the data protection legislations.  However, we will ask that all photos are not shared publicly on social media. Unless all parents have agreed to this.

      3. When BBA takes photographs and videos uses may include

        • Within program notice boards, magazines, brochures, newspapers, 

        • facebook private mamas group, BBA public page.

        • Outside of BBA agencies such as the photographers

      4. Consent can be refused or withdrawn at any time. If consent is withdrawn we will remove the photograph off of our digital media outlets as soon as we can.

      5. When using photographs or videos we will not accompany them with any other personal information about the child to ensure they cannot be identified

  10. Data security and storage of records

    1. We will protect personal data and keep it safe from unauthorized or unlawful access.

    2. In particular:

      • Paper based records are kept in a locked file cabinet when not in use

      • Paper with this information that is in use is kept in a locked brief case in teachers lounge.

      • Electronically collected data is stored on our website is protected by the homeschool life security encryption software

      • Accessing of personal data is protected by username and Passwords user created

      • Admins can see and change this information as needed with consent

  11. Disposal of records

    1. Personal data that is no inter needed will be disposed of securely. Personal data that has become inaccurate or out of date will also be disposed of securely. Where we cannot or do not need to rectify or update it

    2. We use a fine shred shredder and paper bits used as fire kindling to dispose of all personal paperwork
